Policies and Procedures

  1. Schedule an initial consultation. This must be completed prior to any booking requests or pricing is provided. The initial consultation is for formal introductions and to assess fit for both parties.
  2. All potential clients must complete; an Urgent Veterinary Treatment Authorization, a Service Agreement, and a Client and Pet Profile for record-keeping and Emergency Preparedness.

A confirmation of booking provided via email.

A Professional Nanny who is dedicated, respectful, and intuitive to your dog(s) needs.

A Professional Nanny who will treat your home and personal belongings with the utmost respect.

Daily updates via text/email (client preference).

Any questions posed to client by text/email, unless urgent.

Client to arrive home to a house as clean or cleaner then when the client left it including: sheets and dishes washed, carpet vacuumed, floors swept and most importantly HAPPY and HEALTHY DOG(S)!

A Professional Nanny to arrive at agreed beginning time of service (+/- 15 minutes)

For initial visits only – Professional Nanny to arrive approximately 30 minutes PRIOR to client departing. This is to go over any last minute details as well as provide a smooth transition for the dogs. It is NEVER a good idea for an unfamiliar nanny to arrive in the home after the human clients have departed.

Client to arrive home to a house that is locked and secured and most importantly HAPPY and HEALTHY DOG(S)!

Timing – All bookings are scheduled in our calendars to begin and end at specific times, although we always ask for a flexible time window whenever possible when confirming with the client. This allows for any unexpected events, traffic, etc and still allows us to delivery services in a timely manner. We will do our best to adhere to specific times when requested with a +/- 15 minute window.

Scheduling – Professional Dog Mom confirms reservations on a first-come, first-serve basis. All reservations are confirmed by Professional Dog Mom via email. Reservations, also referred to as “Bookings’ are accepted verbally, in writing (i.e. email, text, etc.) All confirmations are provided in writing via email. Booking confirmations are not valid without email confirmation.

Urgent Bookings – All overnight services requested to begin within 72 hours of requested start time will incur a $15 urgent fee. All non-overnight services requested to begin within 24 hours of requested start time will incur a $5 urgent fee.

Holidays – Professional Dog Mom accepts reservations 365 days a year, although there is an additional $15 holiday fee for New Years Day, Memorial Day, 4th of July, Labor Day, Thanksgiving Day, Christmas Eve, Christmas Day, and New Years Eve.

Pricing – All clients are provided a standing or unique (per service) quote based on dogs and household individual requirements, after an initial Consultation is completed. Pricing for overnight services are quoted on a 24 hr basis and rounded up to the nearest 25% of a 24 hr period (6 hours). The 24 hr quoted price is charged for all overnight services, regardless of the hours booked.

Invoicing and Payment for Sits – Payment is due AFTER services have been provided. After client has confirmed services are complete, an invoice is provided via email. Payment types accepted are; Credit Card, ACH, Paypal, and Check. There is a $30 return check fee in addition to any bank fees.

Cancellation fees – Clients must provide a minimum of 24 hour cancellation notice for non-overnight services and a minimum of 72 hour cancellation notice for all overnight services. For non-overnight services: $10 fee. For all overnight services: $50 or 10% of the quoted value of the service booked, whichever is greatest.

Late payment fees – All invoices are issued with net terms of 15 days. Late fees are imposed by PDM, at its discretion, based on the invoice amount and begin at 1 day past due. Any waiver of late fees is at the sole discretion of PDM. Late fees continue to accrue if customer fails to pay beyond the below timelines and are incurred as follows:

All client information is kept private and confidential. Keys are coded and never identified by address. All identifying landmarks or information are removed in photos for posting on social media.

  • No other persons are allowed in the clients home while services are being provided besides the PDM Nanny. *Exceptions are listed in the Client and Pet Profile and First Responders.
  • PDM Nannies will imitate to the best of our ability the care provided by the client;
  • feeding, medication administration, walks, exercise and sleeping routine, etc. based on Client and Pet Profile and discussions with client.
  • Professional Dog Mom cannot be held responsible for any damage to the home that is beyond the
  • control of the care given. This includes electrical, water leaks and acts of nature.
  • PDM Nannies agrees to maintain a secure home at all times while services are being provided.
  • PDM Nannies will have full access to kitchen, bathroom, Thermostat, and WiFi of the home during bookings.
  • PDM Nannies will utilize existing dog collars, leashes, harnesses, etc. (except retractable leashes) and not use their own unless prior consent is provided by client.
  • PDM Nannies is responsible for dog proofing the house, property, and yard and for the
  • security of fences/gates/latches, unless otherwise noted in Client and Pet Profile. Professional Dog Mom will not be responsible for the safety of dogs with unsupervised access to the outdoors and will not be liable for the death, injury, disappearance or legal consequences of such dogs when dogs have unsupervised access to outside the house.
  • Professional Dog Mom is not responsible for any injury to dog caused by or as a result of
  • interaction with another client pet.
  • PDM Nannies will treat all client property with the utmost respect, at all times without exception.
  • Professional Dog Mom will communicate any deviation from this agreement immediately to client when necessary.
  • Professional Dog Mom carries liability insurance which covers the nanny. The client agrees to be responsible for any expense or cost that is above and beyond that which is provided by Professional Dog Mom’s liability policy.
  • Professional Dog Mom may deem it necessary to utilize a lock box at your property. Professional Dog Mom will always communicate prior to temporarily installing.
  • PDM Nannies are not allowed to utilize pools, hot tub, spas, barbecue grills, or any other equipment not related to the basic kitchen and bathroom needs.
  • For non-overnight services, every effort will be made to safely drive to clients home.
  • Services scheduled may need to be altered or interrupted.
  • If conditions make it impossible to drive safely to clients home, PDM Nanny will first contact client directly, then contact the Emergency contacts provided in the Client and Pet Profile.
  • PDM Nanny will communicate to clients when Emergency contacts have been reached.
  • For non-overnight services, the clients home and dogs will be checked as soon as it is safe to do so.
  • All dogs in danger will be taken to a safe location, to be determined by PDM Nanny.

In preparation for any disaster or emergency situation, we suggest:

  1. Keep on hand one carrier for each pet in the household along with a pad, towel or blanket
  2. Keep on hand in a convenient location an emergency stash of pets food and any medications
  3. Keep a Professional Dog Mom business card with you while traveling
